Autopilot, the yearly plan

Customers on the yearly plan keep a card on file and are charged after each year's test.

Autopilot is your yearly plan. The customer pays for this year's test and keeps their card on file. Each year after that, you test the assembly and their card is charged after the test, with the receipt in the report email.

Autopilot needs card payments. The card is kept on your own Stripe account.

How a customer joins

  1. On the booking page, they turn on Test every year on our yearly plan. A phone caller can ask for the yearly plan too.
  2. They pay the booking by card. By the pay button, checkout shows what they agree to: you'll test their assembly each year and charge the card the yearly price after the test, you'll email them about a month before each test, and they can cancel from that email.
  3. Once they pay, their card is kept and Autopilot is on. The words they agreed to, and when, are kept with it.

A yearly-plan booking paid any other way, or not paid by card, doesn't start Autopilot.

The yearly price is Yearly plan, first device, or Yearly plan, percent off (see Company profile and prices).

Each year after that

  1. About 30 days before the test is due, the customer gets an email: Your backflow test is coming up. It says when the test is due, what will be charged, that nothing is charged before the test, and how to cancel. The due date is a year after the last test, moved into your testing season (and a client account's own season).
  2. The office schedules the test. Autopilot doesn't book the job for you. Add it and schedule it as usual (see The schedule). Customers on Autopilot don't get the "you're due" email that asks them to book.
  3. The tester files the test. The card is charged the yearly price, once for that job. The customer's report email includes the receipt.

A job that is already paid, or has a pay link out, is not charged again.

If the card doesn't go through

  • The card is declined, or the bank wants the customer to confirm: the report email asks the customer to pay with a pay link instead. Autopilot pauses until it is paid. The office gets an email: Autopilot charge didn't go through.
  • Stripe doesn't give a clear answer: no pay link is sent, because the charge may have gone through. The office gets an email asking you to check your Stripe dashboard first.

Test mode

Test mode never charges a card. The report email says what would have been charged.

How the office turns Autopilot on or off

  1. Open Customers and open the household.
  2. The Autopay line shows On, the card, the yearly price and when the next test is due.
  3. Click Turn off to stop charges. Click Turn on to start again.

Turn on works only while the customer's card is still kept. It can't undo a customer's own cancellation: they join again by paying a booking on the yearly plan.

How a customer cancels

The coming up email has a link to cancel. The page asks Cancel Autopilot?, and the customer clicks Cancel Autopilot to confirm. Nothing more is charged.
