The schedule
Add jobs, give each one a day, a tester and an arrival window, and route the day.
Open Schedule in the sidebar. Owners and office staff manage it. Testers see their own stops in the field app (see Your day and your stops).
The board
- Use the arrows to move a day at a time. Back to today takes you back.
- Day shows one day; Month shows each day's stops. Click a day in Month to open it.
- Filter by tester, or show Everyone.
- The map shows the day's stops. The list shows each stop's route number, arrival window, address, customer, access notes, assembly, tester and status.
- Waiting to be scheduled lists every job with no day yet: new bookings, phone bookings, retests and jobs you added. A stop a tester sent back shows their reason here.
How to add a job
- Click Add a job.
- Type the Address and pick it from the list. Only the address is needed.
- Add the Customer, Phone and Email if you have them.
- Pick the Assembly type and enter the Serial if you know it. If the serial matches one already at the address, the job goes to that assembly.
- Pick the Kind of visit (Test, Retest or Renewal) and the Urgency.
- Optional: the Day they asked for and Notes, such as gate codes, dogs, where to park.
- Click Add to the queue.
The job goes into Waiting to be scheduled. A day outside your testing season gets a warning but is still taken.
How to schedule a job
- In Waiting to be scheduled, click Schedule on the job.
- Pick the Day, the Arrives after and Arrives before times, and the Tester.
- Click Schedule.
The window is in your company's time zone, wherever you are. A tester needs a current certification on file before they can be put on a job (see Members and roles).
When you schedule a job with a tester, the customer gets a Booked email with the day. The water district gets a notice (see Water districts and filings).
How to move a job
Click Move on the stop, change the day, window or tester, and click Schedule. The customer gets a new email only if the day changed. A district that was already told hears about the move at once.
How to cancel a job
- Click the X on the stop.
- Optional: say why, for example "Customer had it done elsewhere". The reason stays on the job.
- Click Cancel the stop.
If the district was told about the test, it gets a cancelled notice. A test from a client account's batch goes back to the batch. Cancelling doesn't refund a card payment: do that in Stripe.
How to route the day
- Open the day. Pick a tester to route only their stops.
- Click Route the day, then confirm.
The stops are put in the shortest driving order, from where the day starts. Finished stops keep their place. Stops with no map location go last.
Routing changes the order of the stops only. Check each stop's arrival window afterwards and use Move to change any that no longer fit.
