Water districts and filings

How reports and notices reach water districts, and how to clear what's held.

Open Filings in the sidebar. It shows every report and notice that went out, and everything held and why. Clear the held list every day.

How a report reaches the district

When a tester files a test, Backflow Base makes the report, emails it to the household's water district, and emails the customer their certificate. Nobody has to press anything, unless the filing is held.

The district list is researched, not guaranteed. Confirm your main districts' contacts before the season.

The Filings page

From the top:

  1. Schedule notices to districts: held or failed notices about booked tests.
  2. Referrals to other trades: failed tests a tester marked Needs another trade.
  3. Needs you: filings that are held, failed, or must be filed by hand.
  4. Last 60 days: everything else.

Each filing shows the address, assembly, tester, date, and Passed or Failed, with a line for the Water district and one for the Customer. Click Report to open the PDF.

Why a filing is held, and how to clear it

ReasonWhat to do
No water district on file for this addressOpen the customer, Set the district, then Send.
No filing email on record for the districtFile it another way, then click Filed by hand.
The district's filing address hasn't been confirmed yetCheck it, then Send.
Matched from a map near a boundaryOpen the customer, Confirm or Change the district, then Send.
Needs office review (the serial changed in the field)Check the serial, then Send.
No email on file for the customerCall the customer, or add an email and Send.

File by hand means the district takes reports only through its own portal. Click Report, upload it on the district's portal, then click Filed by hand.

Send again resends a filing that already went.

Notices about booked tests

When you schedule a test, the district is told. The first notice waits for the month of the test, so it lands when the district starts chasing. It goes out on the first of that month. To tell the district early, click Send on the notice.

A district already told hears at once when a test moves to another day or is cancelled. Click Told them another way if you told the district yourself.

How to correct a filed test

Owners and office staff can correct a filed result.

  1. Click Correct on the filing.
  2. Fix the type or the readings. The result updates as you type.
  3. Say What was wrong. A reason is needed.
  4. Click Save correction.

The old version is kept. The district gets the corrected report. The customer gets it if the result changed.

How to open a retest

On a failed test, click Open retest. The retest goes into Waiting to be scheduled on the schedule.

Referrals to other trades

  1. Click Add partner to add a plumber, irrigation company or other trade, and the work they take.
  2. On a referral, pick a partner and click Sent to them once you've passed on the details.
  3. Mark it They took it or They passed, then Work done.

Backflow Base doesn't message the partner. Call or email them yourself.
